Why Royale collects this

Three reasons every vendor needs a W-9 on file.

IRS 1099 reporting.

The IRS requires Royale to issue 1099-NEC forms to vendors paid $600 or more in a calendar year. The W-9 is how we collect the legal name, address, and taxpayer identification number to do that.

Tax classification on the record.

The form captures your federal tax classification (sole prop, LLC, S-Corp, partnership, etc.) so payments are reported correctly. Misclassification creates compliance issues for both sides.

Required before first payment.

Royale's accounting team cannot release an invoice payment without a current W-9 on file. Completing it once covers all future jobs unless your name, entity, or address changes.

What you'll need

Have these on hand before you start.

Legal name

Your name as it appears on your tax return, or your registered business name if you operate as an entity.

Federal tax classification

Individual / sole proprietor, single-member LLC, C-Corp, S-Corp, partnership, trust, or other.

Address

The mailing address where Royale should send your 1099 at year-end.

TIN

Social Security Number (for individuals) or Employer Identification Number (for entities).

Signature

Your electronic signature certifies that the information provided is accurate under penalty of perjury.

Exemption codes

Most vendors are non-exempt and skip this. If your entity qualifies for FATCA or backup-withholding exemption, you'll need the IRS code.
